Kabetogama Resort Policy Statement
The Pines of Kabetogama Resort is dedicated to ensuring you have a memorable vacation experience. For the safety and comfort of all guests, and to preserve and protect the surrounding environment, please follow our reasonable rules below. Violators may be asked to leave the property with no refund.
Deposit and Cancellation Policy
We are a small, seasonal business in a remote location, and cancellations affect us significantly. Please review our deposit, change, and cancellation policies carefully as they are non-negotiable for any reason. We highly recommend you purchase travel insurance for life’s unexpected occurrences, or you might want to consider our Travel Protection option.
Deposits
Our standard policy requires a 50% deposit on a valid credit card approved by The Pines of Kabetogama (“Guest Card”) at the time of booking for the entire reservation amount, including cabins, RV sites, and equipment rentals. The remainder of the reservation charges are due upon check in. By making a reservation with The Pines of Kabetogama, guest consents to the entire reservation amount being held on guest’s credit card at the time of reservation.
Changes, Cancellations and Final Payment
In the unfortunate event you must cancel your reservation greater than 30 days prior to your arrival date, you will receive a refund of your deposit, less a 20% fee, calculated on the total reservation amount.
If you cancel your reservation within 30 days of your arrival date, the total dollar amount of your reservation is non-refundable, including equipment rentals, and will be collected on the date of the cancellation request. By making a reservation with us, you agree we may charge the Guest Card for such amounts. Once you cancel your reservation, you will no longer have a reservation or rights to the original rented unit(s).
Date changes requested greater than 30 days prior to the original arrival date may be accommodated based on availability and for the current season only. We cannot accommodate date change requests within the 30-day window.
Should it be necessary for you to depart earlier or arrive later than your confirmed dates, you will be responsible for the original nights of your intended stay. For no-shows, a charge equivalent to the entire reservation will apply. By making a reservation with us, you agree we may charge the Guest Card for such amounts.
The final payment will be collected when you check-in. Only credit card or cash payments are accepted for final payment, we do not accept checks. Guest authorizes The Pines of Kabetogama to process all charges owing under our Policy on the Guest Card.
Travel Protection
If you require more flexibility, we offer Travel Protection for a small additional fee. Travel Protection provides a 100% reimbursement if an unforeseen illness or health condition should occur up to 14 days prior to your arrival date or during your stay that prevents you from attending or completing your booking. Selecting this option requires you to pay 100% in full at the time of reservation. To determine if this is the right choice for you, please review the Travel Protection terms and conditions.
Check In
The check in window for cabins and glamper is 3 p.m. – 7 p.m.
The check in window for RVs is 1 p.m. – 7 p.m.
We fully understand it is not always possible to arrive within our check-in window. Please contact us well in advance if you will be arriving after 7 p.m., and we will plan for a staff member to await your arrival. There may be an additional hourly late arrival fee past 7 p.m. For the safety and comfort of our guests, we do not allow ANY arrivals after 10 p.m. Guests that expect to arrive after 10 p.m. will need to make other arrangements and can check in as early as 8 a.m. the following morning. No refunds will be given to guests that miss the arrival window.
Check Out
Check out for cabins and glamper is no later than 10 a.m.
Check out for RVs is no later than 11 a.m.
Late checkout may be possible but is subject to availability and must be prearranged with staff. Guests that fail to depart their rental unit at the designated check out time without prior approval will be charged an additional night stay.
Quiet Hours
Rest and relaxation are important to our guests so please refrain from loud noises and disturbances during this period. No outdoor TVs or music are allowed between 10 p.m. and 8 a.m. Please be aware that voices carry on quiet nights! Generators are not allowed at any time.
Outdoor Lighting
Please turn off all outside lights whenever possible. We are located at Voyageurs National Park, a certified International Dark Sky Park, and many of guests are here to enjoy the view at night. Enjoy the spectacular night sky and protect the environment by reducing your electricity consumption!
Campfires
We are in a forest and forest fires are an ever-present danger. Never leave a fire unattended, and ensure fires are extinguished completely before retiring for the evening or leaving a campsite by dousing glowing embers with water. Wood gathering from the surrounding forest is not allowed. Approved firewood is available in the gift shop and can be reserved ahead of your stay or purchased as needed.
No Lifeguard on Duty
All water activities, including swimming, playing with provided or rented water toys or water accessories at the dock and lake, involve certain risks. We do not have a lifeguard on duty. By participating in water activities, guests assume all liability. All children under 18 must be supervised by a parent or guardian in and around the lake, including on the docks.
Prohibited Items
The following items are prohibited on our property:
- Fireworks (including sparklers), firecrackers, and explosives of any kind
- Self-defense or restraining devices
- Marijuana or any illegal substance
- Drones or aerial photography
- Sleeping tents
Prohibited Activities
The following activities are prohibited on our property:
- Hunting or trapping of any wildlife
- The sale of goods or services, or solicitation of goods or services, without prior authorization
- The distribution of printed materials without prior authorization
- Engaging in any act that is unsafe, or threatens the safety to self, others or staff
- Unauthorized access or entry into areas designated for staff or facilities rented by other guests
- Obstructing entrances, driveways, or roadways; including parking in unoccupied RV sites
- Sleeping in tents or on boats
- Placing RV mats on natural grass
RV Washing and Personal Washing Machines
RV washing and the use of personal washing machines are prohibited. We are on a private well and septic system that cannot handle extra water consumption. Please help us conserve!
Smoking Policy
All of our indoor spaces including cabins are smoke-free, including tobacco, e-cigarettes or other products that produce a vapor or smoke. Ignoring the smoking policy will incur a $500 room recovery fee or may result in being asked to depart the property with no refund. Please be courteous of other guests and remember to fully extinguish and dispose of cigarettes to keep our property beautiful. Smoking marijuana or other illegal substances is not permitted at any time and guests will be asked to depart the property with no refund.
Pets
Well-behaved pets with responsible owners are welcome but must be registered in advance of your stay. For the safety of our guests and your furry friends, dogs must be on a physical leash and under control at all times while outdoors (even if your dog is the best dog ever) and must not be left unattended. Pet owners must pick up after and properly dispose of pet waste. Pets are not allowed in public buildings or in public restrooms. Pet owners are always responsible and liable for pets and will be held responsible for the damage. Pets that interfere with the quality of the Pines experience in any way may be asked to leave the property.We do have a limited number of cabins that allow dogs under 30 pounds for an additional cleaning fee of $35 per day. Any cabin guests arriving with pets not previously disclosed or over the weight limit will be charged $100 a day or asked to find other arrangements for their pets. Registered pets are allowed on rental boats.
Child Supervision
Children should be supervised. All children under 14 years old must be under adult supervision at all times. All children under 18 years old must have an adult present near water, including on the docks. Please inform children of our rules too.
Visitors
All visitors must register at the office and obtain a vehicle permit prior to visiting any guest on the property. Visitors may arrive between 9 a.m. and 5 p.m. and depart the property by 10 p.m. Visiting guests may be limited at the discretion of management.There will be an additional charge of $50.00 per guest plus sales tax for any nonregistered overnight guest joining a cabin or RV site. Your booking confirmation defines the number of guests allowed per cabin or RV site. This policy is strictly enforced.
Vehicles
The speed limit is 10 mph for guest safety. All vehicles must be registered with the front office and vehicles must display vehicle permits. Please watch for bicycles, golf carts, pedestrians, other vehicular traffic, and wildlife. All Minnesota laws that apply to drivers apply on our property, including, but not limited to, distracted driving and impaired driving laws.
Tents
Tents are not allowed at The Pines of Kabetogama Resort. Bottomless screen tents are permitted. If you are searching for a campground in the area that offers sleeping tent camping we suggest looking at Woodenfrog State Campground
Boat Rental
Guests must be 21 or over to rent a boat and present a valid driver’s license, state-issued ID, or Military ID. Boat operators must have prior boat driving experience and understand the basic operations of the watercraft rented. Boat operators must have knowledge of waterway navigational markers and proper navigation rules. Drivers must be aware and assume the risk of the multiple rock hazards on the chain of lakes. Boat operators agree to abide by all Minnesota Boating Laws. A boat rental contract will be completed prior to departure from the dock. The person who signs the contract is defined as the primary renter and is responsible for the rental boat, regardless of whom is driving. Onboard smoking and alcohol are not permitted. Minnesota State Law requires one life jacket per person onboard every watercraft. Complimentary life jackets are provided. We have limited child and oversized vests. We recommend you bring a Coast Guard-approved vest to wear during your stay. Maximum capacity is based on Coast Guard regulation and the type of boat rented. Boat reservations are not weather-dependent. Due to the high demand for boats, there will not be refunds given for inclement weather.
Boats are required to be returned to the dock prior to 6:30 PM for fueling and inspection.
At check-in on the day of rental, we will review and sign the rental contract. We will require an ID card for each boat operator listed on the contract and one credit card to hold on file for possible damages. All listed boat operators must be present for boat equipment instructions on the dock. Guests that are unwilling to participate in these instructions will not be permitted to rent a boat, with no refund. All boat operators should carefully inspect the rental boat, prop, and motor prior to leaving the dock area. The primary renter will assume all responsibility for any damage incurred during use. If there are no damages incurred during your rental period, the pre-authorization hold will be released, and you will not be charged. Rental boats are inspected and prepared with a full tank of gas at the beginning of the rental. Upon return, we will help dock the boat and top off the fuel. Fuel costs, bait, and incidentals will be collected at the end of rental after final fuel fill and inspections. Under no circumstance will guests that are or appear to be intoxicated be allowed to rent a boat, with no refund.
Golf Cart Rental
A limited number of golf carts are available to rent, and we strongly recommend advanced reservations. Golf carts are available for pick up at 10 a.m. and must be returned by 9 a.m. on the return date. Drivers must be 21 years old with a valid driver’s license and complete a liability waiver and driver orientation. All passengers must remain seated while the vehicle is in motion. Children are not permitted to sit on the driver’s lap and may not assist in driving the cart at any time. Carts must remain on roadways or designated paths and must stay on The Pines of Kabetogama Resort property. Complete rules will be provided during orientation. We have a zero-tolerance safety policy and guests violating our rules will no longer have golf cart rental privileges, with no refund.
RV Site Selection
We will honor your wishes whenever possible; nonetheless, we do reserve the right to transfer your reservation to another RV site. If you want to reserve a specific site, we do offer a lock fee at the time of booking.
At the time of check-in, please be prepared to provide ID, plate numbers of vehicles, the RVIA certification number, and valid vehicle registration of your camping unit upon request.
2024 Good Sam Discount
We are a Good Sam Park rated 9.5/10*/10. Members receive a 10% discount on RV sites, up to six nights, for 2024 reservations. To receive the Good Sam discount, you may select the Good Sam Add On option during the online booking process or provide your membership information when calling for a reservation. You must present a valid membership card at check-in or your discount will be removed and you will be responsible for the full cost of the reservation.
Damage To Property And Cabins
Guests are responsible for damage to The Pines of Kabetogama Resort’s properties, including cabins, boats, golf carts and other rental equipment. Guest agrees that an estimated “Repair Cost” will be charged for any damage, agrees to pay the Repair Cost and authorizes The Pines of Kabetogama to charge the Repair Cost to the Guest Card.
Photography Release
From time to time, The Pines of Kabetogama may take photographs or videos for use in print, online and video-based marketing materials and publications. All photographs and videos are the property of The Pines of Kabetogama and are not subject to inspection, approval, or compensation. By entering our property, all guests grant The Pines of Kabetogama permission to use photographs and videos and further agree to hold The Pines of Kabetogama harmless for any claims or damages arising out of use of such photographs and/or videos.
Release
The guest accepts The Pines of Kabetogama Resort, cabin, camping, and marina privileges with the understanding that he or she does hereby release Pines of Kabetogama Resort, its officers and employees of all liability for loss or damage to property and injury to his or her person arising out of his use of its properties, including the resort, cabin, camping, and marina facilities. Guest also agrees to indemnify Pines of Kabetogama Resort, its officers and employees, against claims resulting from loss or damage to property or injury to the person of any member of the family or guest of the registered guest arising out of the use of its resort, cabin, camping, and marina facilities.
Company Rights
The Pines of Kabetogama Resort is private property. We reserve the right to deny access, prevent entry, or require a person already on property to leave The Pines of Kabetogama property, without refund, liability or compensation, for failure to comply with any of these rules or for unsafe, illegal, or offensive behavior, to ensure safety, security or order, or if we consider that the circumstance otherwise so require, in our sole and absolute discretion.
The Pines of Kabetogama Resort reserves the right to revise these policies at any time.
